Executive/Senior Executive - Portfolio Reporting
Role Overview
The Portfolio Management Reporting role supports the governance, reporting, and oversight of the organization's project portfolio. The incumbent is responsible for consolidating project information, maintaining portfolio reporting, monitoring project performance, and ensuring adherence to project governance standards.
Working closely with project managers, business stakeholders, and leadership teams, this role provides timely and accurate portfolio insights that enable informed decision-making, effective prioritization, and successful portfolio delivery.
Key Responsibilities
Portfolio Reporting & Analytics
Consolidate project status updates across the project portfolio.
Prepare weekly, monthly, and executive portfolio reports and dashboards.
Monitor portfolio KPIs, including project status, milestones, budget, schedule, resource utilization, and risk exposure.
Analyze portfolio data to identify trends, risks, bottlenecks, and opportunities for improvement.
Ensure portfolio information is accurate, complete, and up to date.
Portfolio Governance
Support the implementation and maintenance of project governance processes.
Monitor compliance with project management standards, templates, and reporting requirements.
Coordinate periodic portfolio update meetings and project reviews
Maintain project documentation, approvals, and governance records.
Escalate reporting inconsistencies or governance issues where appropriate.
Portfolio Coordination
Maintain the portfolio roadmap and project pipeline.
Track project dependencies, milestones, risks, and issues across multiple initiatives.
Coordinate with project managers and functional teams to obtain timely project updates.
Assist in portfolio prioritization and planning activities.
Stakeholder Communication
Prepare presentation materials for portfolio update meetings and executive committees.
Communicate portfolio performance and reporting outcomes to relevant stakeholders.
Support leadership by providing accurate information for strategic decision-making.
Process Improvement
Recommend improvements to portfolio reporting processes and governance practices.
Maintain reporting templates, dashboards, and project management documentation.
Support the continuous enhancement of portfolio management methodologies and tools.
Qualifications & Skills
Bachelor's degree in Business Administration, Project Management, Information Technology, Engineering, Finance, or a related field.
3–5 years of experience in project management, PMO, portfolio management, business analysis, or a related role, preferably within a digital transformation or technology-driven environment.
Proven experience preparing executive-level portfolio reports, dashboards, and presentations for senior leadership.
Strong understanding of project governance, portfolio management frameworks, and PMO best practices.
Familiarity with enterprise system landscapes and an understanding of how business processes, applications, and technology platforms integrate across the organization.
Experience tracking and monitoring benefits realization, ensuring projects deliver measurable business outcomes and align with strategic objectives.
Demonstrated ability to coordinate multiple concurrent initiatives, manage competing priorities, and work effectively with cross-functional stakeholders.
Advanced proficiency in Microsoft Excel and PowerPoint, with demonstrated experience developing executive dashboards, portfolio reports, financial analyses, and presentation materials for senior leadership. Experience with Power BI or other data visualization tools is an advantage.
English and Bahasa Malaysia; proficiency in Chinese is an added advantage.
