Assistant Manager - Regional JV Operations & Governance Support
The GTPC department in Malaysia is a centralized leadership of all import and export departments throughout Mr. DIY worldwide and central oversight of technology for shipment planning and execution, facilitating the movement of cargo to and from different countries. Planning, monitoring, measuring, and supervising import and export shipments to deliver compelling cost efficiencies and essential strategic capabilities. Managing stakeholders and ensuring that shipments comply with domestic laws as well as international export, trade and financial laws.
We are looking for a proactive and ambitious individual to join our Global Trade & Product Compliance JV Project Team. This role supports the coordination and governance of regional JV operations across multiple countries, ensuring smooth execution, clear communication flow, and timely follow-up of actions between HQ, country teams, and the China business partner.
The role is designed to strengthen operational visibility and execution efficiency across the region, while supporting the Project Manager in driving alignment and consistency across countries.
This role does not replace country ownership or decision-making authority.
This position is based in Balakong Industrial Park, Malaysia.
Major Duties and Responsibilities:
Regional Project Coordination & Execution Support
• Support coordination of regional JV activities across multiple countries to ensure alignment with agreed priorities and timelines.
• Assist in tracking key milestones, dependencies, and follow-up actions from regional discussions.
• Support structured communication between HQ, China business partner, and country teams to ensure clarity and consistency of information flow.
• Consolidate updates from country teams for regional visibility and reporting purposes.
• Assist in identifying execution gaps, risks, or delays and highlight them for attention by the Project Manager
Governance Support & Meeting Coordination
• Support preparation, coordination, and documentation of regional and JV meetings.
• Ensure meeting agendas, materials, and follow-up actions are well structured and distributed in a timely manner.
• Track meeting outcomes and ensure action items are followed up with relevant stakeholders.
• Maintain structured records of regional discussions, decisions, and action logs for reference.
KPI Monitoring & Reporting Support
• Support regional KPI data collection and consolidation across country teams.
• Assist in preparing regional performance summaries, dashboards, and reporting materials.
• Help ensure data consistency and accuracy across different country submissions.
• Highlight trends, variances, or operational observations for management review.
Cross-Country Communication Support
• Facilitate clear and efficient communication between country teams, HQ, and China business partner.
• Support translation and interpretation of business requirements where needed (Mandarin and English).
• Help ensure alignment of expectations and reduce miscommunication across stakeholders.
• Assist in preparing bilingual materials and summaries when required.
Operational Follow-Up & Tracking
• Maintain regional action trackers to ensure follow-up items are monitored and closed.
• Support escalation tracking by ensuring issues are properly documented and routed to appropriate stakeholders.
• Follow up with country teams to ensure visibility of pending actions and updates.
Process Support & Continuous Improvement
• Support improvement of regional reporting templates, trackers, and coordination tools.
• Identify opportunities to simplify administrative processes and improve workflow efficiency.
• Assist in standardizing basic operational and reporting formats across countries.
• Support adoption of tools and dashboards to improve regional visibility.
Support for Regional Leadership Enablement
• Provide structured information, reports, and coordination support to enable the Project Manager to focus on leadership, stakeholder engagement, and decision-making.
• Support preparation of materials for senior management and JV discussions.
• Assist in ensuring consistency of information shared across regional stakeholders.
Requirements:
• Bachelor’s or Master’s degree in Supply Chain, Logistics, International Trade, Business Administration, or a related field, with a minimum of 5 years of relevant working experience.
• Proven experience in import/export operations, regulatory compliance, product certification, HS code classification, or regional project / operations coordination in a multi-country environment.
• Strong analytical and problem-solving skills, with the ability to identify operational gaps, manage risks, and support process improvements in a fast-paced regional setting.
• Detail-oriented, structured, and highly organized, with the ability to manage multiple priorities and follow through on deliverables across different stakeholders and countries.
• Strong interpersonal and communication skills, with demonstrated ability to coordinate and influence stakeholders across functions, countries, and cultural environments.
• Proficient in Microsoft Excel for reporting, data analysis, and tracking; experience with Power BI, dashboard tools, or automation tools is an added advantage.
• Strong proficiency in Mandarin and English (written and spoken) is required due to direct engagement with China-based business stakeholders and regional meetings.
• Experience in logistics, regional operations, or cross-border project environments is an added advantage.
