Executive - Inventory Management
Job Summary
The Stock Level Coordination Executive is responsible for monitoring, analyzing, and coordinating
stock availability across stores. This role ensures optimal stock levels by managing transfers,
displacements, and issue resolution. The position also supports smooth store operations, especially
during new store openings or project-based movements. The executive will collaborate closely with the Warehouse, Buying, and other relevant departments to ensure alignment between physical and system stock levels.
Key Responsibilities
General Task 1 – Stock Level Monitoring & Coordination
1. Weekly Stock Level Analysis Report
Analyze stock levels and highlight issues weekly.
Address dummy adjustment issues and ensure updates from relevant teams.
Investigate low stock due to order cancellations and follow up for corrective actions.
Investigate low stock due to pending arrivals and update progress accordingly.
2. Bi-Weekly Physical vs System Stock Level Analysis Report
Compare system stock levels against physical counts from stores.
Identify and escalate significant discrepancies.
3. New Store Stock Displacement Coordination
Coordinate stock movement planning for new stores.
Prepare and validate New Store Stock Displacement Reports.
4. Existing Store to Existing Store Stock Transfer Coordination
Coordinate stock transfer between existing stores when needed.
Prepare and update Existing Store Stock Transfer Reports.
Remarks: Always ensure WBC (Write-off Below Cost) is completed before coordinating any displacement or stock transfer.
General Task 2 – Inbound & Project Monitoring
1. Weekly IB Pending Verification Coordination
Coordinate weekly with stores and warehouse to ensure all pending IB (Inbound) documents are verified.
Compile and submit Weekly IB Pending Verification Results.
2. Project Wayang Kulit (WK) Coordination
Monitor and support stock coordination for WK projects.
Compile and submit Project WK Results.
3. New Store Sales Order (SO) Stock Level Monitoring & Coordination
Monitor stock readiness and coordinate for new store sales order fulfilment.
Ensure proper stock is available and delivered on time.
Requirements
Minimum SPM, Diploma in Business Administration, Supply Chain Management, or related field.
1–3 years’ experience in retail stock coordination or inventory operations.
Strong analytical skills and attention to detail.
Good communication and follow-up abilities across departments.
Proficiency in Microsoft Excel and basic reporting tools.
Able to handle multiple store setups and coordinate tasks under tight deadlines.
Training will be provided for suitable candidates.
